During the March 19 meeting of the Williams County Fair Board, the Entertainment Committee Chairman, David Page, announced that Saturday act will be Country Artist Austin Webb and that the Sunday act will be Hotel California. Both of the main entertainment events will begin at 7:30 PM and tickets will be $10.00 grandstands and $8.00 track. Tickets will go on sale in the Fair Ticket Office Saturday March 28th @ 9:00 am. Chairman Page also addressed the Board about interests to pursue a “big” name entertainer for the 2016 Fair and presented the Board a request for a budget of $250,000 for next year. The motion was amended to reflect that providing the Entertainment Committee could get $125,000.00 in sponsorship for 2016 by the end of the 2015 fair week, the Board would consent to the balance of $125,000.00. The motion passed with 1 nay vote. Director Pepple commended Director Page on his ambitious thinking and goals and encouraged him to reach out to the Board whenever he needed help on this project.
Roll call found 19 Directors present and 3 Directors absent for the meeting. Guests attending the meeting were Richard King, District 1 representative from the OFMA, and Jr. Fair Board Secretary Hanna Herman.
Richard King addressed the Board with information regarding the State matching grant monies. Those funds will not be available for 2015 as the legislation will not be presented this year as was originally hoped for. The second item Mr. King spoke to the Board about was the need to revise and update the Ag Society Constitution as it is quite outdated and many of the other county fairs have already addressed this or are currently addressing this. To make changes to the Constitution, the Directors will have to approve amendments and then present those during the Fair Board election for members to vote on.
Hanna Herman presented the Board with a new messaging technology the Jr. Fair Board is using to ensure effective communication with its members as well as announced they will have a raffle during the Maple Syrup Festival to raise funds for programs and growth.
Minutes and Treasures reports were both approved.
Committee Reports were heard from Fair Foundation, Gates, Livestock, Gillette, Fair Book, Advertising and Entertainment. The Gates Committee settled that all gates will be manned during the 2015 Fair from 8:00 am until 9:00 pm daily. The Livestock Committee announced that “Tag in Day” for Lambs, Market Goats, Sheep and Feeder Calves will be May 30 from 8am until 11am. The Gillette Committee reported that they are making some changes to the Gillette layout to accommodate and promote a portion of the building for merchants this upcoming fair. The Advertising Committee shared a possible idea for a promotional gimmick but the idea was declined by a majority vote no.
The Fair Book Committee announced that they had two bids this year for fair book printing and the bid that was recommended and passed by vote was for $4900.00. The books will be printed by local area business Current Office Solutions. Books are headed to the printer by early April if at all possible.
In Old Business the previous bid from EZ 1 Computers for 2 new computer towers was accepted and those computers will be used in the ticket office. Water leaks have been fixed but the Board approved another expense of adding a special shut off value at a cost of $300.00 to help manage any new leaks that happen in the future. The needed new floor scrubber for the Gillette Building was again discussed and it was decided to reach out to the County for advice on what were approved models through state purchasing. There may even be a possibility of a demonstration at the April Board meeting.
It was moved and seconded to go into Executive session to discuss contracts. The session lasted about 25 minutes with the Board returning to open session with action that (1) approved a 3 year contract with Brueher Sound, (2) approved a 2 year contract with EZ1 Computers for Website hosting and maintenance, and (3) approved a new 1 year contract for Susan Keesbury as contract labor fulfilling the duties of Secretary/Book Keeping.
The last item of business was the announcement of the 2015 Spring OFMA Banquet set for April 4-11. The banquet this year will be hosted by Hancock County Fair. Dinner costs are $20.00 and the Board passed a motion to pay for any Director’s meal if they choose to attend.
The next meeting of the Williams County Fair Board will be held on April 16 at 7:00 PM.
