On Thursday the 9th of July, 2015 the Williams County Fair Foundation met in regular session at 7:00pm in the Thaman Building on the Fair Grounds. Following the call to order, roll call found the 4 Officers, 4 Trustees and 7 members present.
Minutes of the regular June meeting was presented and approved. Treasurer report was also read and approved. In committee reports, we heard of updates about the August 1st Edon Fire Department Benefit from Bob Crowe, Co-Chair’s J. McDonald and A. Goebel reported things are going great for the Tractor Show and Rib Fest scheduled on July 24th, 25th and 26th. For the Tractor Show and Rib Fest the Fair Foundation will work with the Committee and provide food concessions as well as we will serve a pancake and sausage breakfast on Saturday morning. Committee Chairman S. Carroll of Concessions reported the freezer needs replaced in the concession trailer, the trailer also needs a NSF approved microwave and the donated concession building needs attention and updates. It was moved and approved to set aside $500 budget for the concession building with a work night scheduled for Wednesday July 15 at 7:00 pm. Also moved and approved was setting aside a budget of $300 for the microwave and a budget of $500 for the freezer needed in the concession trailer.
Old Business brought reports about ongoing work in the Gillette building following the roof repair of the antique section following the fire this spring. Clarification was made regarding the Secretary of State paperwork to file showing continued existence. The debit card was discussed and it was reminded the importance to adhere to the policy and have receipts turned in to the Treasurer in a more timely fashion. Mr. McDonald reported to the Board about his ongoing research for quotes on a “electronic billboard”. A preliminary bid was passed around as a sample to give the board an idea that a sign 17’ x 5.5’ two sided and in color would be roughly $79,000.00. It was tabled until more bid are gained so that a plan can be established along with a budget and time tabled for this exciting project. The Board expects to get updates each meeting until we pick the option best suited for the Fairgrounds. The Board was reminded of the 2015 parade float and encouraged to participate whenever possible by riding with the float. Bean Days/Balloon Festival was discussed again with decision to order the potatoes and oil to serve french fries and drinks. Members were reminded about posting signs that our fries are cooked in peanut oil for those with allergies. President Bennett brought up the previous subject of the picnic tables and reported about the Fair Board voting to spend $2000.00. He encouraged the Fair Foundation to match that. Trustee D. Wilson moved and the Trustee D. Page seconded to go forward with purchase of tables for $2,000.00. Following much discussion a vote of 4 to 6 was taken and the motion to purchase picnic tables with fish fry proceeds failed.
In “New Business” the only item that was brought up was the upcoming fair week. President Bennett and Chairman S. Carroll will continue to work together drafting menus and getting our orders ready. The Foundation will reach out to the county 4H groups about volunteering at the concession trailer and concession building during fair week.
L. Ludwig moved to adjourn the meeting and was seconded by C. Newcomer. The motion passed and the next meeting will be held on August 13th, 2015 at 7:00 PM.
